This Privacy Statement explains how UbiShift discloses Personal Data that we collect from Individuals or Companies & its Employees who subscribe to our Shift Management App or visit our website or engage with us in business activities.
- Types of Personal Data
- UbiShift collects Personal Data necessary to operate our Shift Planner and Shift Management features. Personal Data is any information that can be used to identify, locate or contact you. This includes your name, username, employee ID, mailing address, telephone numbers, email address, work schedule preferences, shift history, and geographic location.
- How UbiShift collects Personal Data
- We collect Personal Data directly from you when you register on our Shift Management App, create or update your shift profile, submit shift availability or preferences, request shift swaps or leave, or when your employer (our Client) adds you to the UbiShift platform for workforce scheduling purposes.
- How UbiShift uses Personal Data
- UbiShift uses your Personal Data for the following Business Purposes:
- (a) Shift Planner — Employee Scheduling
- Personal Data is used to power the Shift Planner feature, which enables managers to
create, assign, and publish employee shift schedules. This includes:
- Creating and managing weekly or monthly shift rosters for employees;
- Assigning shifts based on employee availability, role, and work preferences;
- Sending shift notifications and schedule updates to employees via the app;
- Managing shift swaps, replacements, and open shift requests.
- (b) Shift Management — Attendance & Workforce Tracking
- Personal Data is used to support the Shift Management feature, which helps
businesses monitor and manage active shifts in real time. This includes:
- Recording employee shift check-in and check-out times;
- Tracking attendance, absences, late arrivals, and early departures;
- Generating shift reports and workforce analytics for management;
- Managing overtime, break times, and shift duration compliance;
- Sending alerts and reminders for upcoming or missed shifts.
- (c) Business-necessary Processing activities
- UbiShift will collect and process its Customers' Clients data only as instructed or permitted by our Client. UbiShift maintains appropriate security controls to protect the information. Personal data including users' profile information viz. Email, Phone, Name, Employee ID, and Profile photo is used solely to operate shift scheduling and workforce management operations.
- Clients Contact Information:
- We optionally collect the Client's information like Name, Phone, and Email for administering the App's Shift Management function, and only after getting the required permission from our Customers.
- Clients GPS Location:
- We collect location-based data (GPS coordinates) through our geolocation feature from Employees to verify and record their shift check-in and check-out at designated work locations. This data is used exclusively for shift attendance verification and is not shared with any third party.
- Clients Images:
- We collect employee or workplace images if the Client has signed up for our App and has agreed to the use of this feature. This feature is optional and is only enabled if the Company has signed up for it. We do not share the collected images with any third party tool, or use it for any other process other than the one disclosed by the application. Images collected are stored for the duration the Client has signed up for the App's services with a retention period of 365 days, after which they are automatically deleted from the system.
- Providing services. UbiShift may process Personal Data to provide shift planning, shift management services, workforce analytics, and business intelligence.
- Why and How Personal Data is disclosed by UbiShift
- UbiShift commits to not provide your Personal Data to Third Parties. We limit our sharing of
your Personal Data to:
- UbiShift will only use your Personal Data for the shift planning and management purposes listed above;
- Our service providers are bound to protect your Personal Data and only use your Personal Data in accordance with our instructions;
- Our business partners, but only to the extent you have purchased a product or service from such a partner, interacted with such a partner, or otherwise authorized the sharing;
- Enforce our rights, protect our property, or protect the rights, property or safety of others, or as needed to support external auditing, compliance and corporate governance functions. We will also disclose Personal Data when required to do so by law.
- Mobile & Desktop Applications
- UbiShift offers mobile & Desktop applications that allow employees and managers to plan
shifts, manage schedules, track attendance, and receive shift notifications via their mobile
device. Personal Data collected by UbiShift via our mobile applications is protected by the
terms of this Privacy Statement or our Privacy Statement for Client Employees, as
applicable.
The UbiShift app stores and processes personal data that you have provided to us, to provide our Shift Management Service. It's your responsibility to keep your phone and access to the app secure. We therefore recommend that you do not jailbreak or root your phone, which is the process of removing software restrictions and limitations imposed by the official operating system of your device. It could make your phone vulnerable to malware/viruses/malicious programs, compromise your phone's security features and it could mean that the UbiShift app won't work properly or at all.
